RLC Regions 2 and 3: Frequently Asked Questions

Who should attend?
RLC is tailor-made for chapter executive council officers and chapter advisors. Please wait until your elections are held to have your officers register. No substitutions for executive council members will be accepted. If the RLC registration deadline is prior to your elections, please contact Sara Chojnacki for additional instructions.

If the primary chapter advisor is unable to attend and would like another advisor to be considered as a replacement, please contact your collegiate chapter supervisor or your new chapter team leader for approval. A substituted advisor should be someone who will return to the chapter and proactively share their experience and make good use of this educational opportunity.

What states/provinces will be represented at our RLC?
Alabama, Florida, Georgia, Kentucky, Louisiana, Maryland, Mississippi, North Carolina, South Carolina, Tennessee, Texas, West Virginia and Virginia.

What should I wear?
Attire for the weekend is business casual badge attire (no jeans, sweat pants, t-shirts, tank tops, flip flops or midriff-baring shirts). Business casual dress includes nice slacks, appropriate length skirts, sweaters, blouses and jackets. You will be provided a name badge upon arrival and will be expected to wear this throughout the weekend. Your membership badge should be worn at all times (except Saturday evening).

What time do I need to arrive on Friday?
Please plan to arrive at the hotel no later than 5 p.m. to check in and change clothes for dinner.

Hotel check in is at 3 p.m. and RLC registration is available as early as 2 p.m. The hotel will accommodate early arrivals based on room availability. If your room is not ready when you arrive, the hotel will store your belongings for you while you wait. Dinner will be served from 5:30 to 6:30 p.m. at your leisure. Programming will start at 6:30 p.m. sharp and all attendees are required to be present at this time.

If you are unable to schedule a flight to arrive in time or have an approved conflict and need to arrive later, please email Page Adams to discuss prior to making travel arrangements.
What time does everything conclude on Sunday?
All programming will be wrapped up by noon on Sunday. Lunch will be on your own. Please do not schedule departing flights prior to 2 p.m. as it is expected that you will attend all RLC programming.

My chapter needs to either arrive late on Friday or leave early on Sunday, how do we get this approved?
All late arrivals and early departures must be approved by Page Adams. Please email her in advance for approval. Academic or university conflicts that are verifiable will be accepted. If you encounter flight restrictions that will not allow you to arrive in time or that will force you to depart early, please reach out to Page Adams prior to booking your fight. She may be able to assist you in finding an alternative flight that will accommodate a timely arrival and departure.

I live locally. Can I commute to the hotel?
No, we do not allow event participants to commute to the hotel. All participants are required to stay on property to fully immerse themselves in the education, sisterhood and networking that the weekend has to offer.

I have special dietary needs. Who do I contact?
Please indicate your allergies or dietary needs when you register. You will be provided an allergy card at registration and will be required to bring this to all meals to indicate your preferences. All information will also be passed along to the hotel banquet staff and they will do their best to accommodate you. If you are concerned about the food offered, it is recommended that you bring snacks with you.

Our elections are being held after our RLC registration has ended. How do we get registered after the deadline?
Please contact Sara Chojnacki for further instructions.

One of our newly-elected officers had to step-down from her position. We have elected a new officer to take over for her, but how do we issue a name change?
Once your new officers are elected, please have the original registrant do the following:

Click here and enter the current registration name and the confirmation number that you received when you registered. At the top of the page you will see “More Options.” Click this and select “substitute registration.” You will then be prompted to enter in the new attendee information. Please make sure to either work in tandem with the new attendee or forward them these instructions to complete the substitution on their own. This will ensure we are collecting accurate attendee information for the new registrant. Please be sure all pertinent information is updated within the record including cell phone, email address, allergies and emergency contact information.

What is the deadline to submit a name change?
All name changes must be submitted by end of business day on Friday, February 1, 2019.

One of our chapter officers registered and can no longer attend. Can we send another chapter member in her place?
No, unfortunately this event is only for your executive council officers and chapter advisor. You will need to cancel her registration and will be eligible for a partial refund if the cancellation happens on or before January 25, 2019, at midnight MST.

One of our members is unable to attend RLC last minute, can we get a refund?
No, unfortunately refunds are not available after January 25 due to hotel financial obligations.

What if my chapter has not paid for my attendance prior to my arrival?
Unfortunately, we are no longer able to accommodate attendees who have not paid for their event registrations. Please ensure that your chapter has paid for your attendance in full prior to arriving in Atlanta. If you arrive at RLC and your chapter has not paid your registration fee, you will be unable to check in for the event unless you pay onsite by check or credit card. All event fees should be paid by January 25, 2019.

Are international alumnae dues required to be paid in order to attend this event?
Yes, all chapter advisors and volunteers in attendance are required to be current on international alumnae dues (or be a Life Loyal member) for the 2018-19 fiscal year. If you arrive at the event and are still outstanding on your dues, you will have the opportunity to pay your dues when you check-in for the event.

How does the roommate pairing process work?
All matching roommate requests will be honored. In other words, if Shana and Jill both request each other, they will be paired together. However, if Shana requests Jill but Jill matches with Elsa, the matching request will be honored. Please make sure your chapter discusses roommate pairings prior to the close of registration so that everyone is clear on their roommates and they are assigned accordingly. No changes will be made after the registration deadline.

If you need a roommate, leave that section blank during registration and you will be paired at random. You will not be alerted as to the name of your roommate in advance. Instead, you will find out when you arrive who your roommate is and what chapter she is from. Come prepared to make a new friend!

While traveling to RLC I encountered some travel delays. Who do I contact?
Please email Page Adams to alert her of your issues and let her know your estimated time of arrival.

None of my questions are addressed here, who do I contact?
If you need assistance with registration, contact Conference and Meeting Assistant Sara Chojnacki. If you have questions regarding logistics, contact Director of Conferences and Meetings Page Adams.
