Policies and Attendee Guidelines

Review all policies and attendee guidelines prior to registering and attending Convention to ensure you are prepared and informed. 

Collegiate Chapter Delegates

  • Each collegiate chapter is required to send one delegate and encouraged to send at least one alternate delegate. Chapters in good standing are entitled to register at the $900 (early registration) or $950 (regular registration) rate for each delegate.
  • Your newly-elected president should be formally elected as the delegate. If the president cannot attend Convention, the chapter should elect another officer or member to serve as the delegate for your chapter.
  • Please return your credential information to International Headquarters by May 2, 2018, to ensure your delegate and alternate are able to vote. Click here for more information on credentials.
  • Chapters must be in good standing (all financial and reporting requirements met by May 27, 2018) for the chapter delegate to have voting privileges.
  • Delegates are required to check in at the Credentials Table in the Landmark Circle 15 minutes prior to each Business Session.
  • Attendees are expected to fully participate in all Convention events and Business Sessions.

Collegians

  • Each collegiate chapter is welcome to bring as many other collegiate attendees as they like. Collegians are entitled to register at the $900 (early registration) or $950 (regular registration) rate.
  • Attendees are expected to fully participate in all Convention events and Business Sessions.

Advisors

  • Each collegiate chapter is strongly encouraged to bring their primary chapter advisor to Convention. Chapter advisors are entitled to register at the $900 (early registration) or $950 (regular registration) rate.
  • If a primary chapter advisor is unable to attend, we encourage a member of your advisory board to attend instead.

Alumnae Chapter Delegates

  • Alumnae chapters in good standing are encouraged to send one delegate and one alternate delegate to vote at Convention. (Good standing is defined as the fulfillment of all financial and reporting obligations including payment of alumnae dues for at least six members.) Alumnae chapters in good standing are entitled to register at the $900 (early registration) or $950 (regular registration) rate for each delegate.
  • Delegates and alternates should be formally elected to represent the alumnae chapter at Convention.
  • Delegates are required to check in at the Credentials Table in the Landmark Circle 15 minutes prior to each business session.
  • Each delegate and alternate delegate elected to represent the alumnae chapter must also be in good standing financially (having paid their individual international alumnae dues of $25 or be a Life Loyal member). Alumnae members can pay their international alumnae dues or join Life Loyal using the registration site.

  • No international volunteer leader, elected or appointed, or alumnae member of the Nominating Committee, may serve as an alumnae chapter delegate or alternate.

Alumnae

  • Alumnae attendees are encouraged to attend all Convention events and business sessions. Partial registration options are available if they are unable to attend the entire Convention.

Authorized Volunteer Leaders

  • Authorized volunteer leaders are notified by International Headquarters if they have been authorized to attend Convention at the reduced registration fee. Authorized volunteer leaders are approved to register for Convention at a reduced rate of $250 if they register by May 2 and $300 if they register by May 30.
  • They must be in good standing with the Sorority for the current fiscal year (having paid their individual international alumnae dues of $25, or be a Life Loyal member). Volunteer leaders can pay their international alumnae dues or join Life Loyal using the registration site.
  • Authorized volunteer leaders are responsible for the reduced registration fee, accommodations before Wednesday or after Saturday and personal spending money.
  • Registration for Authorized volunteer leaders includes:
    • Airfare
    • Complimentary airport transfers
    • Double occupancy for four nights at the Convention hotel
    • Full registration bag
    • Admission to all Business Sessions, education sessions and keynote speakers
    • All scheduled meal functions
    • Appropriate travel related costs (parking, mileage, travel meals)
  • Flights (up to $450), airport transportation or parking and non-provided meals onsite are eligible for reimbursement until August 1, 2018.
  • Authorized volunteer leaders must pay all incidental hotel room charges upon check out.

Subsidized Volunteer Leaders

  • Subsidized volunteer leaders are approved to register for Convention at a reduced rate of $250 if they register by May 2 and $300 if they register by May 30. This rate includes complimentary hotel transportation, double occupancy for four nights at the Convention hotel, Business Session admission, education session/key note speaker admission and a full Convention registration bag. It also includes a choice of either a ticket to Friday’s CLC Diamond Jubilee Anniversary Breakfast and Confirmed Conventioneers, or Saturday’s Pink Carnation Banquet.
  • They must also be in good standing with the Sorority for the current fiscal year (having paid their individual international alumnae dues of $25 or be a Life Loyal member). Volunteer leaders can pay their international alumnae dues or join Life Loyal using the registration site.
  • Registration for subsidized volunteer leaders includes:
    • Complimentary airport transfers
    • Double occupancy for four nights at Convention hotel
    • Full registration bag
    • Admission to all Business Sessions, education sessions and keynote speakers
    • Your choice of either a ticket to Friday’s CLC Diamond Jubilee Anniversary Breakfast and Confirmed Conventioneers, or Saturday’s Pink Carnation Banquet. No other meals are included.
  • No additional expenses are eligible for reimbursement.
  • Subsidized volunteer leaders must pay all incidental hotel room charges upon check out.

Alcohol Policy

  • In keeping with Gamma Phi Beta’s policy, alcoholic beverages will not be served at Sorority functions.
  • No alcohol may be brought in by individuals, even those over age 21, to any official function, including meals.

Childcare Policy

  • No hotel childcare is available.
